LAMMAS EARTH CENTRE & SCHOOL OF NATURAL SHAMANISM PRIVACY POLICY

Lammas Earth Centre is run by Lammas Earth Centre CIC, a community interest company, with Hoppi and Tao Wimbush, on the Lammas Ecovillage in Pembrokeshire, West Wales, and is home to the School of Natural Shamanism. We offer practitioner trainings, retreats, workshops, online courses, memberships and free monthly ceremonies.

We look after the personal information you share with us as carefully as we would want our own looked after. This policy explains what we collect, why, and the choices you have.

If you have any questions about your information, please contact us at [email protected] or write to Lammas Earth Centre CIC, Tir y Gafel, Glandwr, Whitland, Pembrokeshire, SA34 0YD.

Lammas Earth Centre CIC is the "data controller" for the information you give us. This means we decide how it is used and are responsible for looking after it.

1. WHAT WE COLLECT

We only ask for what we need. Depending on how you connect with us, this may include:

• Your name and email address when you join our newsletter, the Full Moon Ceremony Circle, a waitlist or a free email series.

• Booking and payment details when you book a course, retreat or workshop, such as your name, email, phone number and billing address. Card and PayPal payments are handled securely by Stripe and PayPal. We never see or store your full card details.

• Information you choose to share for a booking, such as dietary needs, accessibility needs or your choice of drum skin.

• Your coursework and reflections if you are on a training with us, such as written submissions, photos, audio and case studies.

• Messages you send us through our contact form, by email or in our community spaces.

• Basic technical information collected automatically when you visit the website, such as your browser type and the pages you view.

Some of our trainings and retreats involve deep personal work, so you may tell us about your wellbeing or health. We treat this with particular care. We use it only to keep you safe and supported, and share it only with the people holding the space for you.

2. HOW AND WHY WE USE IT

UK data protection law asks us to have a clear reason, called a "lawful basis", for each way we use your information:

• To take your booking, give you access to courses and memberships, and keep in touch about what you have signed up for. This is to carry out our agreement with you (contract).

• To send our newsletter, Full Moon invitations and occasional news of courses and retreats, because you have asked to receive them (consent). You can stop these at any time.

• To look after any health or wellbeing information you share, so we can support you safely. This is based on your explicit consent, which you can withdraw.

• To keep financial records, because the law requires it (legal obligation).

• To answer your messages and keep the website working well and securely. This is our legitimate interest in running Lammas Earth Centre well, balanced against your privacy.

We will never sell your information, and we won't use it for anything you wouldn't reasonably expect.

3. WHO WE SHARE IT WITH

We use a small number of trusted services to run our work. They only handle your information to provide their service to us:

• Kajabi hosts our website, courses, sign-up forms, bookings and emails.

• Stripe and PayPal process card and PayPal payments securely.

• WhatsApp (Meta) runs our information-only Full Moon group and some course groups, which you choose to join. Other members of a group can see your name and phone number.

• Google runs the calendar for booking calls with Hoppi, and Google Analytics, which gives us visitor statistics for our website (see Cookies below).

• Our bank receives standing-order payments for trainings and retreats.

Some of these companies are based outside the UK, mainly in the USA. Where your information travels abroad, it is protected by safeguards recognised under UK law.

We may share information with the tutors and facilitators who help run a course or retreat you have booked, only as far as they need it. We would only share it with anyone else if the law required us to.

4. EMAILS & UNSUBSCRIBING

You will only receive our newsletter and Full Moon emails if you have signed up for them. When you sign up for the Full Moon Ceremony Circle, we first send an email asking you to confirm.

Every email we send has an unsubscribe link at the bottom. You can also email [email protected] and we will take you off our list.

If you have booked a course or retreat, we will still send the practical emails you need for it, such as your welcome, joining details and payment reminders, even if you have unsubscribed from our news.

5. COOKIES

Cookies are small files that a website stores in your browser. We use three kinds:

• Essential cookies: our website runs on Kajabi, which uses cookies to keep the site working: to remember your login, keep your checkout secure and load pages properly. These can't be switched off.

• Analytics: we use Google Analytics to understand, in general terms, how people find and use our website, such as which pages are visited most, so we can improve it. It gives us statistics, not your name or contact details. You can opt out at any time with Google's free opt-out browser add-on.

• Video: videos on our website and in our courses play through Wistia, Kajabi's video player, which collects basic viewing statistics.

You can block or delete cookies in your browser settings. If you do, parts of the site, such as logging in to your courses, may not work.

6. HOW LONG WE KEEP IT

• Newsletter and Full Moon sign-ups: until you unsubscribe or ask us to remove you.

• Course and membership accounts: while you have access, and for up to 2 years after your last activity.

• Booking and payment records: 6 years, as UK tax law requires.

• Coursework and reflections: for the length of your training and up to 2 years after, unless you ask us to delete them sooner.

• Health or wellbeing information: only as long as needed for the course or retreat it relates to.

• Messages and enquiries: up to 2 years.

7. YOUR RIGHTS

You have the right to:

• ask for a copy of the information we hold about you

• ask us to correct anything that is wrong

• ask us to delete your information, unless we have to keep it by law (such as payment records)

• object to, or ask us to limit, how we use it

• withdraw your consent at any time, for example by unsubscribing

• ask for your information in a form you can take elsewhere

To do any of these, email [email protected]. We will reply within one month and won't charge you.

If you are unhappy with how we have handled your information, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk or on 0303 123 1113.

8. CHANGES TO THIS POLICY

We will update this page if anything changes in how we look after your information. If the changes are significant, we will let you know by email.
